Automations Service

Automations

We design automations that handle repetitive tasks, follow-ups, and data management, so nothing falls through the cracks and your team stays focused on high-value work.

6-Step Framework

Use this 6-step framework to build powerful automations that reduce manual tasks, eliminate drop-offs, and keep your team focused on their highest priority work. Powered by BrandOptimizer.ai.

Step 1: Define

Start by answering these 10 operational clarity questions.
Your answers will reveal your biggest automation opportunities, where time is being wasted, and which systems need better support.
1: What repetitive tasks or follow-ups currently take up the most time for you or your team?
This shows us where the biggest time drains are, like onboarding, follow-ups, or status updates, so we can prioritize automations that deliver immediate relief.

2: Are there any tasks you’ve already automated? If so, which ones and what tools are you using?
Understanding what’s already in place helps us avoid duplication and identify what tools you’re already comfortable using.

3: How do you currently track and manage your customer or lead data across platforms?
We need to see how well your systems are connected, or where data is falling through the cracks due to manual entry or disconnected tools.

4: What are the most common tasks that get delayed, dropped, or forgotten?
These are the failure points. If consistency is an issue, automation can help remove the human error and create a more reliable workflow.

5: Are you using any tools like Zapier, HubSpot, ActiveCampaign, or similar platforms?
Knowing your tech stack helps us build around what’s already available and spot any underused capabilities in your current tools.

6: Where do you feel like your team wastes the most time with manual or repetitive work?
Time waste adds up fast. This helps highlight the areas where automation could reduce workload and improve overall efficiency.

7: Do you currently have any kind of workflow automation between your sales, marketing, or fulfillment tools?
If your systems aren’t connected, information gets siloed. Automation bridges those gaps so your process can run end-to-end without friction.

8: If a task needs to happen every week or month, what system (if any) ensures it gets done?
Recurring workflows need structure. If there’s no automation or checklist in place, things are likely slipping through.

9: What’s one process in your business that you know could be automated, but hasn’t been yet?
This reveals where the low-hanging fruit is. Often, the barrier is time or clarity, not capability.

10: If you had automated systems running key tasks and workflows, what would it allow your team to focus on instead?
Whether it’s strategy, product development, or deeper client work, this defines the benefit and gives purpose to the automation plan.

Step 2: Identify

Pinpoint the processes that need automation the most.
Start with areas that are time-consuming, prone to human error, or critical to lead and customer acquisition.

  1. List every process that takes more than 30 minutes per week to manage manually
  2. Mark which ones affect customer experience, team bandwidth, or data quality
  3. Choose 1–2 that would create the biggest time savings or consistency boost

🚀 Brand Optimizer AI Prompt:
“We are a [business type] that serves [target audience]. Based on our answers, help us identify the top 3 areas of our business where automation will save time, reduce errors, or improve consistency.”

Step 3: Map

Break the process into clear, repeatable steps.
You can’t automate what you haven’t clarified. Each process must have defined inputs, outputs, and triggers.

  1. Outline each step of the chosen process from start to finish
  2. Define what should happen automatically vs. manually
  3. Identify the systems, tools, or roles involved at each step

🚀 Brand Optimizer AI Prompt:
“We are a [business type] that serves [target audience]. Help us map out each step in our selected process so we can see exactly what needs to be automated and where.”

Step 4: Build

Set up the right tools and integrations to automate the mapped process.
Use platforms like Zapier, Make, or native integrations inside CRMs and project tools.

  1. Choose the best tool based on speed, budget, and system compatibility
  2. Set up triggers, actions, and conditions based on your process map
  3. Test each step thoroughly with live data to ensure nothing breaks

🚀 Brand Optimizer AI Prompt:
“We are a [business type] that serves [target audience]. Based on our mapped process, recommend the best automation tools and show us how to set up the triggers and workflows.”

Step 5: Document

Create internal SOPs and automation logs for clarity and maintenance.
This ensures your team knows what’s running, how it works, and how to fix it if needed.

  1. Write a step-by-step SOP explaining how the automation works
  2. Create a changelog to track edits or updates over time
  3. Assign ownership for monitoring and maintenance

🚀 Brand Optimizer AI Prompt:
“We are a [business type] that serves [target audience]. Help us write a clear SOP for this automation so our team can understand, maintain, and troubleshoot it confidently.”

Step 6: Optimize

Review performance monthly and evolve the system.
Automation isn’t “set and forget”. Check what’s working, where it’s breaking, and how it can improve.

  1. Track what the automation is saving in time or cost
  2. Watch for errors, edge cases, or missed handoffs
  3. Optimize the logic or triggers based on business evolution

🚀 Brand Optimizer AI Prompt:
“We are a [business type] that serves [target audience]. Help us review and optimize our automation setup to ensure it’s still aligned with our goals and running efficiently.”
