6-Step Framework
Step 1: Define
We want to understand not just your workload but how much of that time actually moves the needle.
2: How do you currently plan your days or weeks (if at all)?
Planning method matters. Whether it’s detailed calendar blocking or mental notes, we want to know how intentional you are with your time.
3: What percentage of your day feels “reactive” versus intentional?
If reactive time dominates, it’s a sign your workflow is controlling you, not the other way around.
4: What routines or habits do you rely on to protect your focus or energy?
These can be simple or complex, anything from morning rituals to scheduled breaks that keep you sharp.
5: What typically drains your energy or distracts you the most during work hours?
Being honest here helps us target the biggest leaks, whether it’s meetings, interruptions, fatigue, or lack of clear priorities.
6: Do you currently track or measure how you spend your time each day or week?
Tracking reveals patterns and blind spots. If you’re not tracking, we’ll help you start with simple tools.
7: What tasks or decisions feel mentally heavy or repetitive?
These are prime candidates for batching, delegation, or automation to preserve your energy for high-value work.
8: When do you feel most focused or energized during the day?
Knowing your natural rhythm lets you schedule deep work when you’re at your best.
9: Do you have protected time each day for strategy, deep thinking, or leadership work?
If yes, we want to see how that time is protected and structured. If not, it’s a gap to fix.
10: If your energy, focus, and time were fully optimized, what would that unlock in your role or business?
This defines the value. Whether it’s higher output, better decisions, more clarity, or less burnout.
Step 2: Audit
This step helps you uncover the hidden drains and distractions that are pulling you off your most important work.
- Track a full week of activity and energy levels to identify patterns.
- Review how much time is spent in deep work, meetings, admin, or fire drills.
- Note your energy peaks and crashes throughout the day.
- Pinpoint specific activities or environments that increase or deplete your focus.
“Based on my role and goals, help me design a weekly schedule that protects time for high-value, strategic work.”
Step 3: Align
Now that you know where your time is going, you’ll rebuild your schedule to match what matters most.
- Define your top 3 priorities for the business and your role.
- Identify the tasks only you can do, and those you should delegate.
- Design an ideal weekly schedule that protects time for strategic work.
- Set boundaries around meetings, availability, and communication windows.

Step 4: Structure
Focus is easier when your day has rhythm. This step adds structure that helps you start strong, stay on track, and finish clear.
- Create a morning routine that activates focus and clarity.
- Use a daily planning ritual to set intentions and review priorities.
- Block time for deep work and avoid stacking cognitive load.
- Build in checkpoints to reset, refuel, and transition between tasks.
“Help me create a daily routine and planning ritual that boosts focus, reduces decision fatigue, and increases execution.”
Step 5: Optimize
You’re only as effective as your energy allows. This step improves the factors that fuel your performance.
- Audit your sleep, nutrition, and hydration routines.
- Reduce digital noise and notification overload.
- Set up a work environment that minimizes distraction.
- Schedule breaks and recovery time, and set them as non-negotiable.
“Give me a plan to improve energy and focus by adjusting my sleep, nutrition, and digital habits.”
Step 6: Reflect
Focus isn’t static. This step ensures you stay self-aware and adjust based on performance and patterns.
- End each week with a reflection on wins, challenges, and energy.
- Review where distractions crept in or focus slipped.
- Adjust your plan based on what’s working or not.
- Celebrate consistency, not perfection, to reinforce momentum.
“Create a simple weekly reflection prompt that helps me track my focus, energy, and execution progress over time.”
